Online Registration
Aardcom can setup and manage your online registration system, including delegate registration forms, exhibitor registration, speaker registration and the submission of presentation proposals using an abstract submission form. We can also arrange to enter data sent by fax or mail, into these online forms, so that all your event data is in one secure location and accessible to you when you need it.
Using the online registration database we can provide you with targeted lists for preshow email campaigns or for promotional mailers for exhibitors. If you prefer, send us your mailing material and we can do the mailing for you based on your criteria. We can also mail out name badges prior to the event to all preregistered delegates, to reduce your onsite registration requirements.
Online registration is the most cost effective means of registering delegates for your event. The online form is available 24/7 enabling your delegates to register at their convenience. Registration forms can be setup to only allow submission of complete registration forms, with verified email addresses, ensuring an accurate and complete database. Once completed, a confirmation of the registration process is provided and a second can be sent by email. The confirmations can include a unique identifier or a barcode, to simplify the onsite badge distribution process.
Unlike printed forms, the online form can be updated at anytime to reflect pricing, scheduling or seminar changes. The form is completed by the registrant and is submitted directly into the pre-registration database. This eliminates the possibility of error from re-keying information from handwritten registration forms.
On-site Registration
We offer complete on-site registration services. We will design, configure, set-up and support your onsite registration to capture all relevant information and print name-badges as delegates arrive to the events. We can capture the same information you used in the pre-registration process prior to issuing a namebadge.
For those who are preregistered, all they need to do is provide their name and business card or ID to one of our onsite registration clerks and their namebadge is printed quickly and they are on their way. Badges can be searched by last name, company name, unique ID code, or using the barcode imprinted on their confirmation form. By separating your onsite registrants from those who preregistered, you speed up the process, reduce waiting times and lines and encourage onsite delegates to preregister for the next event.
We provide laptop or desktop data entry terminals networked to 20ppm laser printers. Whether you need 40 data entry terminals or a stand alone system for a smaller event, we can help. We provide Windows, Novell or Linux based servers, depending on your needs or preferences. If you have an existing database or managed pre-registration on your own, as many of our clients do, we can import your data into our system for onsite namebadge printing and accurate event attendance reports.
We provide complete end of event reporting, including registration and attendance statistics, financial summaries, registration details and database integration services. Most reports can be provided on demand throughout the event or we can schedule reports for specific times. For post event reporting, we can format the report data to match that of previous events, so your statistics are easy to understand.
Name Badge Printing
We offer professional looking badges in a variety of formats. Our standard sizes are 3x4 or 4x4 with string or clip holders. Custom sizes are available by request.
Our standard badges are easy to read and can be color coded for insertion in our custom badge holders. Show management can designate access privileges for each registrant based on the registration category and easily identify these categories by the color of the badge border or category labels imprinted on each name badge.
Each namebadge can include a Code 39 or PDF barcode for tracking visitor attendance or for use with our on-site lead retrieval service. Tickets for seminars, lunches, dinners and draws can also be printed with the badge. No separate line-ups.
Badges can be pre-printed prior to your next event or we can provide a full onsite registration system. If all your registrants are pre-registered, we will print your badges from the registration database and ship them out by overnight courier, pre-sorted alphabetically by last name and category. We can include a percentage of generic badges for distribution to late arrivals.
Mailer badges can be printed and sent out prior to the event, reducing the line up onsite for pre-registered badges. These badges can include promotional information, directions to the event and the event schedule.
Lanyards are also available. These can all be imprinted with your organization’s logo or the logo of a sponsor.
